The portal

Send the work. Watch it move.

Every Muckin practice gets a login at app.muckin.co.uk. Raise a job with the files and a deadline, see exactly where it is, answer queries in one place, and know how much of your seat you have left. Included with every seat.

Why it exists

The usual arrangement is an inbox and a hope.

You email a job to an outsourcer. Then you wait. You don't know if it has been started, whether they have everything, or when it is coming back — so you chase, and the chasing costs more time than the job saved. We built the thing we wanted when we were the ones buying.

Email and a spreadsheet

  • No idea whether a job has been picked up
  • Queries arrive one at a time, for a week
  • "When will it be ready?" answered by asking a human
  • Deadlines quoted from the day you sent it, not the day they had everything
  • You find out it is late when it is late
  • Hours used per month: a number on an invoice

The Muckin portal

  • Every job has a status, an owner and a due date
  • One query list per job, with a date they are needed by
  • The due date is calculated and visible from the moment the pack is complete
  • The clock starts when we have everything, and pauses when we are waiting on you
  • Anything at risk is flagged before it slips, to us and to you
  • Seat hours used, live, with a month-end projection

The Muckin portal dashboard: seat hours used, what needs you, jobs by stage

The dashboard opens on what needs you and what your seat has left. Screens from the live portal, shown with a demo practice — the client names are made up.

Sending work

A minute to raise a job, and it tells you what to send.

Pick the client and the job type. Every type — year-end, CT600, self assessment, VAT, bookkeeping, payroll, management accounts, onboarding and AML, admin, marketing — carries its own checklist of what we need, with an upload slot against each item. No more "can you also send the bank statements".

Pick the client and job

Clients come in by Companies House number, so year ends and filing dates land automatically. Recurring work — bookkeeping, VAT, payroll — creates itself each period.

Fill the checklist

Drag the files into the slots. The job shows what is still missing, and so does your dashboard, until the pack is complete.

We accept it, in writing

Your lead confirms the scope, the estimated hours and the due date. If something is outside the seat, you get a price to accept or decline before any work starts.

Raising a job: pick the client and job type, then fill the document checklist

Raising a job. Every type carries its own checklist of what we need.

Tracking it

Six states, and you can always see which one you are in.

SubmittedAcceptedIn progressQueryUK reviewDelivered

An honest deadline

The turnaround clock only starts when the document pack is complete, and it pauses whenever we are waiting on you. A job says "clock paused — 2 items needed" rather than quietly going late.

Nothing reaches you unreviewed

Accounts work cannot move to delivered until it has passed UK review and the reviewer has ticked the checklist. The person who prepared it cannot be the person who signs it off.

Send it back if it is not right

Approve it with a rating, or send it back with reasons. Rework is versioned and counted, and you can see your own rework rate — so can we.

Talking to us

The named lead, in the same place as the work.

Every job has a thread. Queries are a list with dates, not a stream of emails. Internal notes between our own team stay internal — you see the work, not the workings.

  • One query list per job, with the date each answer is needed by
  • A message thread with your named lead on every job
  • A link in the email lets anyone in your firm upload a file or answer a query without signing in
  • Daily or weekly digests, whichever you prefer — or neither
  • Everything that happened to a job, in order, with who did it and when
Knowing where you stand

Your seat, in numbers.

The dashboard opens on what needs you: unanswered queries, missing documents, work waiting for your approval. Then the numbers.

  • Hours used against your plan this month, and where you will land by month end
  • Jobs by stage, and what is due this week
  • Average turnaround against the promised turnaround
  • How much work came back for rework — the number most providers would rather you never saw
  • A monthly statement you can download as a spreadsheet
The boring but important bits

Access, permissions and who sees what.

Sign in without a password

A six-digit code by email. Nothing to remember, nothing to leak, nothing for us to store.

Three levels for your team

Admins run the firm and the plan, members raise and approve work, and a partner can have a read-only view.

Your files stay private

Documents live in private storage and are only ever reached through short-lived links. One firm can never see another's anything.

Want a look inside?

Tell us what you would be sending and we will walk you through the portal with your own kind of work in it — not a canned demo.
